The Position

As a key figure working within the Procurement team, you will hold a range of responsibilities that will enhance and refine procurement activity, particularly in relation to our local Purchase to Pay operations. Directly accountable for the local Procurement Services operations, covering end user Procurement systems support and training for the local Affiliate, you will be responsible for ensuring the development and delivery of local training programmes, facilitating the sharing of key processes and systems amongst internal clients and boosting awareness of procedures and improving understanding of the Ariba system.

You will proactively advocate best practice and our structure will allow you to collaborate with other procurement professionals to standardise systems and optimise processes for the benefit of the organisation. In addition to developing people and processes, you will work on projects to assess and implement system upgrades and innovation whilst also coordinating performance reporting and other departmental processes as assigned by the Site Head of Procurement.
Performance management and reviews of our Service Level Agreement with the Shared Services Centre will also be an important requirement to constantly improve service levels, value and delivery.

An experienced procurement professional, you will need to bring both business acumen and effective influencing skills to the team in order to effectively encourage policy and process compliance. Skilled in project management and committed to delivery, you must be a clear communicator who thrives on using your own knowledge and expertise in order to develop other people in a multi-functional environment. Experience of Purchase to Pay systems is essential, and a working knowledge of Ariba or equivalent system is a distinct advantage. Experience of stakeholder management and delivery of effective training programmes is also essential.

Manage the transactional element of Ariba and purchasing processes for the Procurement Department i.e. approve purchase requisitions, routing for approval as appropriate, manage and support invoice reconciliations, create contracts, manage supplier data.
To provide support to local Ariba users, including Super Users, ensure compliance of the requisition to payment process with the Pharma Procurement Policy, Directive, Guidelines and local Procurement SOP’s
Develop, deliver, facilitate and manage any associated logistics of, all Ariba training modules, including bespoke training programmes on an ad-hoc basis.

In conjunction with SSC Procurement Services coordinate and undertake any activities in relation to management, development and implementation of Project activities associated with Supplier Integration and Vendor Enablement.
In conjunction with SSC Procurement Services manage accuracy and utility of Ariba data and SAP vendor master data.
Where capacity permits, does some spot sourcing activities for low value / low risk items.
Assists Sourcing Managers and Site Head of Procurement with reporting.
Organise, manage and oversee Super User Network for Ariba users (if applicable).
Participate in and support local/regional/global projects as required.
Develop and maintain all associated documentation.

Education and/or on-the-job experience

Bachelor degree desirable or similar education or quivalent experience.
CIPS qualified or working to achieve CIPS qualification by examination.
Experience of working in Procurement environment.
Significant experience of working with procure to pay systems preferably Ariba.
Experience of developing and delivering training packages.
Ability to take project management approach to oversee activities and coordinate tasks with others.
Ability to promote best practice and influence others behaviour in adhering to policies/guidelines.
Experience of working in international matrix organisations across functions and cultures.
Fluent English language written & spoken

Under supervision of Sourcing Manager, plan and execute local sourcing projects using eRFX sourcing methodologies in order to continuously improve total costs, service and quality for indirect materials & services spend.
Ensure uninterrupted and efficient flow of indirect materials & services for the site/affiliate while minimizing inventory.
Ensure compliance of the requisition to payment process with the Pharma Procurement Policy, Directive, Guidelines and local Procurement SOP’s.

Principal Roles & Responsibilities/ Accountabilities:
Develop local sourcing strategies for indirect services categories and manage local projects/RFx process in close collaboration with internal stakeholders.
Develop and manage local contracts and ensure that all contracts are legally adequate with support from Sourcing Manager and Legal as required.
Ensure adherence to the Pharma Procurement Policy, Directive, Guidelines and local Procurement SOP’s.
Manage key local suppliers ensuring consistent collaboration, communication and issue resolution.
Determine supplier performance metrics, regularly review achievement and set targets for continuous improvement.
Ensure compliance of the requisition to payment process with the Pharma Procurement Policy and local SOP’s.
Optimize supplier enablement in the procurement system (catalogs, contracts, e-invoices)

Significant procurement experience in indirect services categories.
Working towards or willing to study for Procurement certification (eg CIPS).
