Specific Accountabilities
§ Provide information and support to the Director Human Resources UK Shared Services, as requested.
§ Provide administrative support for the HR department, producing correspondence, reports, minutes, etc., and presentation materials. Answer telephone queries, arrange meetings, control use of conference/training rooms as required. Maintain HR policy/procedure, terms and conditions of employment, and induction documentation and company forms/templates as required. Maintain HR department attendance records.
§ Provide information and support to senior management, line management, company employees, acting as an interface within the Human Resources function.
§ Maintain employee records, including salary information, with appropriate confidentiality, from recruitment through induction and career development to eventual leaving, including maintenance and update of departmental files and records.
§ Assist in administration of internal vacancies/transfers and external vacancies, including coordination of job interviews.
§ Assist in administration of job advertisement process, including liaison with recruitment and advertisement agencies.
§ Assist in the administration of absence reporting.
§ Assists in the provision of organization charts.
§ Provides support for payroll administrator as required.
§ Produce relevant offer pack information; perform liaison on screening, and new starter processes.
§ Help administer company benefits schemes.
§ Provides administrative support related to the preparation, generation and distribution of management reports etc., actively participating with members of the team/departments to ensure requested information is available on time and set deadlines are met.
§ Provides a single point of contact and control for the office of the Director presenting a professional representation to external and internal contacts at all levels.
§ Provide administration assistance with key skills training/ individual training requirements & plans/ organisation of management development training courses.
§ Provides administrative assistance and direct support in the preparation of documents for starters, leavers, inductions, retirements, and maternity leave including exit interviews, retirement and maternity meetings.
§ Assist in administration of communications with employees, employee representatives and recognized trade unions.
§ Contribute to administration of HR systems for monitoring workforce absence and sickness levels, using associated HR policies. Help administer company employee welfare policies.
§ Assist with administration of organisational change, possibly including restructuring/downsizing/redundancies.
§ Operate in accordance with employment law, and with company procedures including HR policies/ procedures/ guidance/ standards.

Technical Requirements
§ GCSE level education or higher and /or CPP (Certificate in Personnel Practice) preferred, or equivalent.
§ Previous administrative and secretarial experience, preferably in a manufacturing/engineering environment.
§ Excellent organisational and planning skills.
§ Ability to appropriately handle confidential and sensitive employee data, and situations.
§ Excellent verbal and written communication skills, able to deal with people at all levels internally and externally to the company.
§ Knowledge of, and experience in use of, the HR database interfaces to the company SAP system would be an asset.
§ RSA II or equivalent typing skills, and good PC skills, particularly advanced Powerpoint, Excel and Word, are required.

Role:
To determine, with Business Process Owners, the SAP functions that are required for Loughborough and translating this into corresponding roles in the Global Template.
Reviewing these roles and training material available in order to construct a training plan for go live in January.
Assisting BPOs in testing the role configuration to ensure the minimum disruption at Loughborough Sims 2 and 3.
Running the training programme, in Loughborough, to ensure that all SAP users are fully conversant with their roles at go live. Maintaining the necessary documentation, in concert with HR.
Responsibilities and scope. (in conjunction with Ciber training consultant)
1. Using the Global Authorisation control document, review SAP functionality, with Business Process Owners, in order to determine the transactions required for Loughborough Job Holders.
2. Review the transactions required, versus the Global roles, to determine how many Global roles are required for each Loughborough job role.
3. Determine how many functions in the global roles are not required for Loughborough job roles and create favourite menus, in SAP. From these favourite menus, construct training requirements for Loughborough.
4. Assist BPO’s in the testing of these job roles, in the SAP training client, using scripts created by BPOs or their representatives, to ensure that configuration, by the centre, allows the process to work during Simulation weeks.
5. Review all Revision 4 role requirements to ensure that transactions, created by agreed improvements to processes, are compatible with the Loughborough roles created.
6. With BPOs, test any new transactions have been configured correctly, at the centre, BEFORE Sim 3 (November 2010). This includes any transactions that interface with hardware (printers etc), software (interfaces) or form provision.
7. Ensure that scripts and work instructions have been completed by BPOs, or their representatives, in time for both Sims and Training programmes.
8. Review all available training material to construct training programmes to be presented by our clients functional trainers.
Experience and/or qualifications.
1. Previous exposure to SAP
2. Understanding of normal business processes in manufacturing.
3. The credibility to agree and enforce time scales with BPOs for SAP training documentation.
4. Previous experience in organising and/or providing training programmes.
